Terms & Conditions

These Terms & Conditions govern all bookings and services provided by NJ Travels Rwanda (the "Company", "we", "us", "our"). By using this website or confirming a booking, you agree to be bound by these Terms & Conditions.


1. Bookings & Confirmation

All inquiries and reservations are subject to availability. A booking is only confirmed once you receive written confirmation from us (by email or WhatsApp) and, where required, we have received your deposit or full payment as stated on your invoice or pro‑forma.


2. Prices & Payments

Unless otherwise indicated, all prices are quoted in US Dollars (USD) and are based on current tariffs, taxes, park fees, and exchange rates. We reserve the right to adjust prices in the event of changes in government taxes, park fees, fuel costs, or significant currency fluctuations. Payment terms, due dates, and accepted payment methods will be clearly indicated on your invoice.


3. Deposits, Balance & Cancellations

A non‑refundable deposit may be required to secure your services (such as gorilla permits, accommodation, and flights). The remaining balance must be paid by the deadline specified on your invoice. If payment is not received in time, we reserve the right to treat the booking as cancelled. Cancellation fees depend on how far in advance you cancel and on the policies of our suppliers (lodges, airlines, activity providers). These will be communicated to you at the time of booking.


4. Hotel & Lodge Bookings

We act as a booking partner for hotels, lodges, and guest houses across Rwanda. Each property has its own cancellation, amendment, and no‑show policy, which will apply to your stay. In general, late cancellations and no‑shows may incur up to 100% charges of the total stay. Any complimentary upgrades, late check‑out, or special requests are always subject to availability and cannot be guaranteed in advance, though we will do our best to arrange them on your behalf.


5. Changes & Amendments by You

If you wish to change your travel dates, itinerary, accommodation, or number of participants after confirming your booking, please notify us in writing as soon as possible. We will make every effort to accommodate reasonable changes, but they are always subject to availability and any additional costs imposed by suppliers. You are responsible for any increase in price resulting from such changes.


6. Changes & Cancellations by Us

In rare circumstances we may need to make changes to your confirmed services (for example, due to over‑ bookings, flight schedule changes, or closure of a lodge). Where this happens, we will offer a comparable or higher standard alternative where possible. If we must cancel a significant portion of your itinerary, we will offer suitable alternatives or, where appropriate, a refund of the affected services.


7. Travel Documents, Health & Insurance

You are responsible for ensuring that you have a valid passport, required visas, vaccinations, and other health documentation for travel to and within Rwanda and any neighboring countries included in your itinerary. We strongly recommend comprehensive travel insurance covering medical expenses, emergency evacuation, trip cancellation, delay, and loss or damage of baggage and personal effects.


8. Client Responsibilities & Conduct

You agree to follow the guidance of our staff, drivers, and local partners at all times, particularly regarding safety, park rules, wildlife viewing, and cultural sensitivities. We reserve the right to refuse service or terminate arrangements, without refund, for any traveler whose behavior is deemed dangerous, abusive, or seriously disruptive to the group, our staff, or our partners.


9. Force Majeure

We are not liable for any failure, delay, or changes in performance arising from events beyond our reasonable control, including but not limited to natural disasters, extreme weather, epidemics or pandemics, acts of government or authorities, strikes, civil unrest, or technical failures of third parties. In such cases we will assist with alternative arrangements where possible, but any additional costs will be your responsibility.


10. Our Liability

While we carefully select our service providers, many services (including accommodation, transport, and activities) are provided by independent third parties over whom we have no direct control. We are not responsible for any loss, damage, injury, or delay caused by acts or omissions of these third parties. Our liability is, in all cases, limited to the amount you have paid to us for the relevant services.


11. Complaints & Support

If you experience any problem during your trip, please inform us or our local representative immediately so we have the opportunity to resolve it quickly. If an issue remains unresolved, you should submit a written complaint to us within 14 days of the end of your trip, including all relevant details and supporting documentation.


12. Data Protection & Privacy

We collect and use personal data such as names, contact details, and passport information solely for the purpose of arranging your travel services and complying with legal and regulatory requirements. By providing this information, you consent to us sharing it with trusted partners (such as airlines, hotels, and park authorities) where necessary to fulfil your booking. We do not sell your personal data to third parties for marketing purposes.


13. Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of the Republic of Rwanda. Any dispute arising out of or in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the competent courts in Rwanda.
